Guide for landlords

Whilst the process of letting and or managing of residential property varies depending on each clients’ specific requirements please find a brief overview of the services we provide below:


Landlords must have an EPC prior to tenants viewing their property. Charles David James can arrange this service on the landlords’ behalf at a discounted rate, upon receiving instruction to let their property.


Attracting suitable tenants is only possible if the property is being sufficiently well advertised. These days the vast majority of professional tenants will commence their search online.

As such Charles David James has contracts with a number of property portals including 'Findaproperty' and 'Prime Location' Corporate tenants are contacted via relocation agents acting on behalf of the occupants employer with whom Charles David James have good, longstanding relationships with the vast majority.


Once the tenant has been introduced to the property and an agreement (subject to contract and suitable references) has been reached we will go about referencing the tenant (or employer in the case of a corporate let).

'LetSure', who specialise in the referencing of both individuals and companies will be instructed to obtain any previous landlords references, an employers’ reference and to carry out a credit score on the individual(s). In the case of a company let the employers accounts will be requested and a judgement will be made on their suitability.


Charles David James will draft a suitable tenancy agreement to reflect both the annual rental income and the appropriate Tenancy Deposit Scheme the landlord has entered into. 

This will be supplied to the landlord and or their solicitors for review prior be signed by the landlord or Charles David James on his/ her behalf.


Prior to the commencement of the Tenancy Agreement Charles David James will receive the first instalment of rent (either one month or the first quarter) and a six week deposit from the tenant.

Rental payments thereafter will either be transferred direct to the landlord or collected by Charles David James and forwarded dependant on the level of service sought.


We will register the deposit with one of the accredited bodies associated with the TDS. Whilst the scheme is compulsory the landlord will have a choice of which scheme to join, once decided upon this will be reflected in the Tenancy Agreement.

A valid gas safety certificate is mandatory and must be on file prior to the commencement of any tenancy agreement. Charles David James can arrange this and any additional safety certificates including electrical testing on the landlords’ behalf prior to the tenancy.


In addition to the Tenancy Agreement and the six week deposit we strongly recommend the landlord instruct an inventory clerk. Again, this can be arranged in house and protects the landlord’s property with a detailed report of not only any furniture which may be left in the property but a thorough schedule of condition.

This vast majority of the time cost of the inventory is split between the tenant and the landlord. 


Charles David James will arrange for the tenants to receive the keys to their new home once all the documentation is in place. We will also pass to the tenants’ details of who they are to contact in the event of queries/ maintenance issues.


Following an inspection of the property we would be delighted to undertake the ongoing management and maintenance of the property during the term of the tenancy. Charles David James have established links with trades people of al disciplines in the local area.
